# Uploading & managing files

You upload files straight into the **Knowledge** area, where they sit alongside your notes and stay searchable.

## Upload a file

1. Open the **Knowledge** area in the sidebar.
2. Click **+** and choose **Upload file**.
3. Drag the file into the dashed zone or choose it there. The title is prefilled from the file name and can be changed; a description is optional.
4. **Create file** becomes available once a file is chosen. The file then stands in the Knowledge list, opened beside it.

## Manage

Select a file from the list to open it beside the list. Under the title stand the type, the number of versions, who created it, the date and the AI's state; below them the description and, if there is one, the AI's summary. From there you can:

- change title and description via the **pencil** or **···** → **Rename**,
- upload a newer version via **Create new version** (see [Versioning](https://lalabase.com/docs/en/guides/knowledge/versioning)),
- **download** a version via the sign beside it,
- remove the file with all of its versions via **···** → **Delete document …**, after a confirmation.

## Usable by the AI

Once AI is set up for your organisation, Lalabase reads every file for chat and search by itself; no switch is needed. Under the title stands **indexed** once that has happened, and **Index failed** if the file could not be read.

Optionally, let the AI **write a summary** on upload. Depending on size this takes a few minutes; it then stands under the description as **Summarised by the AI**.
